CUSTOMER SERVICE REPRESENTATIVE

ROLE SUMMARY:

Establish and maintain profitable relationships with customers on behalf of the company by taking complete responsibility for each customer contact and by ensuring that all customer requirements are completely met. Serve as the primary internal representative of the organization and convey to the customer a sense of expertise in our services and products. Responsible for communicating customer requirements to the internal team. As a member of the sales team, accountable for meeting the company's monthly, quarterly, and annual revenue and sales goals.

KEY RESPONSIBILITIES:

  • Communicate effectively with the sales and distribution team, informing them and updating them regularly to guarantee that sales and customer objectives are met
  • Compile and maintain all required paperwork, records, and documents used in the execution of customer service tasks
  • Set up and maintain customer files
  • Participate as a key team player by supporting all parts of the business as needed 
  • Process customer orders in an accurate and timely manner
  • Generate new and repeat sales by providing product and technical information in an efficient manner
  • Determine customer requirements and expectations in order to recommend specific products and solutions
  • Recommend alternate products based on cost, availability, or specifications
  • Proactively recommend items needed by customers to increase customer satisfaction and improve sales and profitability 
  • Increase sales and average order size by cross-selling and add-on sales and offer promotional items as available
  • Organize workflow to meet customer deadlines
  • Effectively present and discuss the company's products and services to current and prospective customers in a way that communicates quality and an understanding of the customers' needs
  • Manage telephone calls professionally, efficiently, and with good communication skills
  • Attend to customer questions, complaints, and concerns immediately, and facilitate satisfactory resolution
  • Review customer purchase orders for accuracy
  • Enter customer orders efficiently and accurately with an attention to detail
  • Maintain sales orders and customer forecasts in cooperation with the sales and planning team
  • Communicate to sales and purchasing unexpected increases or decreases in demand for products
  • Manage the RMA process and maintain detailed records of returns and warranty issues for evaluation
  • Assist the accounting department in making collection calls to past due accounts.

DESIRED SKILLS & EXPERIENCE 

The ideal candidate will possess the following attributes:

  • Strong academic record with at least a Bachelor's Degree (or equivalent)
  • Minimum 3 years' experience in a customer service position
  • Excellent command of the English language
  • Must be self-motivated and task-oriented. Need to have highly developed written and verbal communication skills
  • Ability to meet customers' needs and requirements 
  • Possess a sales aptitude and interest in solving problems and preventing errors
  • Proficient in MS Office applications: Word, PowerPoint, and Excel
  • Maintain a positive attitude and work well under strict deadlines
